Travel Advisory & Booking Services Terms & Conditions
These Terms & Conditions apply to advisory, planning and booking services provided by Farvatn ehf. (“the Company”).
These Terms apply where the Company acts primarily as a travel advisor and intermediary for third-party travel suppliers, and not as the organiser of a package travel arrangement unless explicitly stated otherwise in writing.
1. Scope of Services
The Company provides travel advisory and booking services, including but not limited to:
itinerary planning;
destination advice;
hotel recommendations and reservations;
flight bookings;
cruise bookings;
transport and car rental bookings;
tours, activities and restaurant recommendations;
concierge-style travel support.
Travel services booked through the Company may be provided by third-party suppliers including airlines, hotels, tour operators, cruise lines and transport providers.
2. Role of the Company
Unless explicitly stated otherwise in writing, the Company acts solely as an intermediary between the traveller and the relevant travel supplier.
Contracts for travel services are entered into directly between the traveller and the relevant supplier, whose own terms and conditions will apply in addition to these Terms.
The Company is not responsible for the acts, omissions, errors, delays, cancellations or insolvency of third-party suppliers.
3. Advisory Fees & Payments
The Company may charge:
planning fees;
consultation fees;
itinerary design fees;
booking or service fees;
amendment fees.
Such fees may be non-refundable once work has commenced.
Payment terms will be specified in invoices or booking confirmations.
4. Pricing & Availability
Travel pricing and availability are subject to change until confirmed and ticketed or reserved.
Quoted prices may change due to:
supplier pricing changes;
exchange rate fluctuations;
tax changes;
fare availability;
inventory limitations.
The Company does not guarantee availability or pricing until final confirmation has been issued.
5. Bookings & Supplier Terms
All bookings are subject to the terms and conditions of the relevant supplier.
These may include restrictions regarding:
cancellations;
refunds;
changes;
baggage;
check-in requirements;
schedule changes;
minimum stay requirements.
Certain travel products, including many airline tickets and promotional hotel rates, may be fully non-refundable and non-changeable after booking.
6. Changes & Cancellations by the Traveller
Requests for changes or cancellations must be submitted in writing.
Refunds and changes are subject to:
supplier rules;
supplier penalties;
fare differences;
non-refundable amounts;
administrative fees charged by the Company.
The Company is not responsible for losses resulting from traveller-requested changes or cancellations.
7. Supplier Changes & Travel Disruptions
Airlines, hotels and other suppliers may change or cancel services, schedules, aircraft types, accommodations or itineraries at any time.
The Company will make reasonable efforts to assist travellers in resolving issues with suppliers but does not guarantee refunds, compensation or alternative arrangements unless required by law.
Operational disruptions, including delays, weather events, strikes, air traffic restrictions and supplier operational decisions, remain the responsibility of the relevant supplier.
8. Travel Documents & Traveller Responsibility
Travellers are responsible for ensuring they possess valid:
passports;
visas;
health documentation;
vaccination certificates;
transit permissions;
any other documents required for travel.
Travellers are responsible for verifying entry requirements and complying with local laws and regulations.
The Company is not responsible for denied boarding, denied entry or losses arising from inadequate travel documentation.
9. Travel Insurance
The Company strongly recommends comprehensive travel insurance covering:
medical expenses;
cancellation and interruption;
baggage;
personal liability;
supplier insolvency where available.
Travellers are responsible for arranging suitable insurance coverage.
10. Limitation of Liability
To the fullest extent permitted by applicable law, the Company shall not be liable for:
indirect or consequential losses;
missed connections;
schedule changes;
supplier failures;
force majeure events;
acts or omissions of third-party suppliers.
Where liability may legally be limited, the Company’s liability shall be limited to the amount paid directly to the Company for the relevant advisory or booking service.
Nothing in these Terms excludes rights that cannot legally be excluded under applicable law.
11. Force Majeure
The Company shall not be liable for delays, disruptions or inability to perform services caused by circumstances beyond reasonable control, including:
severe weather;
volcanic activity;
natural disasters;
pandemics;
strikes;
war or civil unrest;
government actions;
transportation disruptions.
12. Data Protection
The Company processes personal data for booking, operational and legal purposes in accordance with applicable Icelandic and European data protection legislation.
Personal information may be shared with suppliers and service providers where necessary to fulfil travel arrangements.
13. Complaints
Any issues relating to booked travel services should first be raised directly with the relevant supplier during travel where possible.
Complaints relating to the Company’s advisory or booking services should be submitted in writing within a reasonable time after travel.
14. Governing Law
These Terms & Conditions are governed by Icelandic law.
Any disputes arising in connection with these Terms shall be subject to the jurisdiction of the Icelandic courts.
